GENERAL TERMS OF ENROLMENT AND ACADEMIC REGULATIONS

1. Purpose and academic framework

The WSET Level 4 Diploma in Wines is an international professional certification programme, subject to the academic and regulatory standards established by the Wine & Spirits Education Trust (WSET).

These terms and conditions govern enrolment, participation, and the academic regulations applicable to the programme delivered by The Wine Studio SL (hereinafter, “The Wine Studio”), in order to ensure the proper development of the training pathway, fairness among participants, and compliance with the official regulations of the certifying body.

Formal enrolment implies full acceptance of these conditions.

2. Enrolment and payment method

2.1 Enrolment process

Enrolment shall be completed by filling in the corresponding form via The Wine Studio’s official website.

Payment may be made by bank deposit or transfer to the following account:

Enrolment will be effective once proof of payment has been sent to administracion@thewinestudio.es and confirmed by The Wine Studio.

International transfers must be made in euros.

The transfer reference must include the course reference number and the student’s full name.

2.2 Payment methods

The programme fee may be paid according to one of the following options:

a) Single payment: 100% of the total amount at the time of enrolment.

b) Instalment payment:

  • 50% at the time of enrolment
  • Remaining 50% no later than one (1) month before the start of the programme

2.3 Condition for access to the programme

Access to the WSET Global Campus and official digital materials will only be granted once 100% of the programme fee has been paid.

Until full payment has been completed, the training service shall not be considered as having commenced.

Access may be granted up to a maximum of sixty (60) days before the course start date.

2.4 Scope of course fees

The course fees include:

  • Access to the WSET Global Campus and official online materials for a period of three (3) years
  • Administrative fees and one (1) examination sitting per unit
  • A total of 140 Guided Learning Hours (GLH), comprising tutor-led instruction and supervised assessments delivered by qualified specialists. These hours include:
    • A 2-hour revision session prior to the examination for Units D1, D2, D4 and D5, designed to consolidate key concepts and practise theory-based exam questions
    • For Unit D3, a total of three (3) 2-hour revision sessions delivered throughout the unit, together with an initial session focused on tasting technique. All such sessions will be delivered online, recorded, and made available via The Wine Studio’s website for ongoing student access throughout the programme
  • The organisation of three educational visits to wine regions during the programme, aligned with the following units:
    • A visit towards the end of Unit D4 to Sant Sadurní d’Anoia
    • A visit towards the end of Unit D5 to Jerez de la Frontera
    • A visit during Unit D3 to a region to be confirmed
    • Travel and accommodation costs associated with these visits are not included in the course fees
  • The tasting of more than 180 wine samples in accordance with the WSET Level 4 Diploma in Wines Specification
  • Five (5) mock examinations (one per unit, excluding Unit D6), with feedback provided by WSET-approved examiners
  • For mock examinations in Units D3, D4 and D5, comprehensive tasting notes will be provided as reference material to support independent study
  • Optional homework assignments for each unit (excluding Unit D6), accompanied by model answers to support self-assessment
  • Two (2) group coaching sessions per academic year delivered by Certified Health Coach and Director of The Human Studio, Elisa Errea, in accordance with the published schedule

2.5 Non-payment or delay of the second instalment

In the case of instalment payments:

  • The second payment must be made in full by the established deadline.
  • Failure to pay may result in loss of the reserved place and cancellation of enrolment attributable to the student.
  • Amounts already paid may be retained as a reservation fee and administrative costs.
  • In the event of a delay of less than seven (7) calendar days and prior written notice, The Wine Studio may consider granting an extension.

If the student has chosen instalment payment, the following conditions apply:

  1. Second payment
    The second payment must be made in full by the deadline established by The Wine Studio.
  2. Non-payment
    Failure to pay the second instalment may result in loss of the reserved place and cancellation of enrolment attributable to the student.
  3. Cancellation by the student
    The student may cancel participation in the programme by notifying The Wine Studio in writing.
  • If cancellation is communicated at least forty-five (45) calendar days before the start of the programme, The Wine Studio will refund the amounts paid, deducting any administrative costs incurred.
  • The refund will be processed within a maximum of fifteen (15) calendar days from receipt of the cancellation request.
  1. Late cancellations
    Cancellations notified less than 45 calendar days before the start of the programme may result in retention of amounts paid as a reservation fee and administrative costs, unless The Wine Studio determines an exceptional alternative.
  2. Late payment
    In the event of a delay of less than seven (7) calendar days in the second payment and prior written notice from the student, The Wine Studio may consider granting an extension, without being obliged to do so.

3. Entry requirements

3.1 The candidate must hold the WSET Level 3 in Wines / Wines & Spirits qualification.
3.2 The candidate must be over 18 years of age at the start of the programme.
3.3 The candidate must demonstrate an English level equivalent to B2–C1 within the Common European Framework of Reference for Languages (CEFR).

4. Right of withdrawal

4.1 Students with consumer status may exercise their right of withdrawal within fourteen (14) calendar days from enrolment.
4.2 Withdrawal must be communicated in writing to administracion@thewinestudio.es.
4.3 In accordance with Article 103.a) of the Spanish General Law for the Protection of Consumers and Users, once the service has begun with the student’s express consent, the right of withdrawal is lost.
4.4 Access to the WSET Global Campus implies express acknowledgement of the start of the service provision.

5. Cancellation prior to programme start

5.1 Cancellation must be communicated at least thirty (30) calendar days before the course start date.
5.2 If access to the WSET Diploma Student Campus has already been granted, €520 will be retained for administrative costs and non-refundable official fees.
5.3 Where applicable, refunds will be processed within a maximum of fifteen (15) days.

6. Deferral of a unit

6.1 The programme consists of six (6) independent academic units.
6.2 A deferral request for a specific unit may be made before its start date with at least thirty (30) calendar days’ notice.
6.3 Deferrals will be assessed by The Wine Studio when duly justified causes exist, such as illness. High workload will not be considered a justified reason.
6.4 Circumstances that could reasonably have been foreseen at the time of enrolment will not be considered valid grounds.
6.5 A maximum of one deferral per unit and two in total throughout the Diploma will be permitted.
6.6 Approved deferrals will incur a €200 administrative fee, as well as any applicable official WSET fees.
6.7 A deferral does not constitute a pause of the programme nor extend the official maximum timeframe.

7. Temporary pause of the programme due to unforeseen circumstances

7.1 A pause implies temporary suspension of the entire academic pathway, affecting the next pending unit and subsequent ones.
7.2 It may only be requested before the start of a new academic unit.
7.3 Requests will be assessed when duly evidenced unforeseen circumstances arise.
7.4 Foreseeable situations or temporary workload increases will not be considered valid grounds.
7.5 Only one pause is permitted throughout the Diploma.
7.6 Re-entry must take place in the next available academic intake according to the current schedule.
7.7 The pause entails a €200 administrative fee.
7.8 The pause does not suspend or extend the official maximum completion period of three (3) years.
7.9 During the pause period, no academic services included in the programme will be provided.

8. Maximum timeframe and WSET enrolment renewal

8.1 Students will have access to the WSET Global Campus for 3 years from their first access date.
8.2 If the programme is not completed within this period, candidates may request renewal directly with WSET by paying the applicable official fees. Such renewal does not guarantee previous pricing conditions nor automatic place reservation with The Wine Studio.
8.3 The Wine Studio’s services will be maintained for the duration of the programme. If the student has not sat the exams, The Wine Studio will carry out the necessary exam registrations.
8.4 If the student needs to resit exams, they must pay the corresponding fees to The Wine Studio.
8.5 Renewal with WSET does not imply retention of previous financial conditions nor automatic reservation of a place in future programmes delivered by The Wine Studio.

9. Examination regulations

9.1 Official exam dates will be communicated in the academic calendar.
9.2 Failure to attend an exam does not entitle the student to a refund or automatic transfer.
9.3 Late notification will result in the exam being considered used for all academic purposes.
9.4 To sit a new exam, the applicable official fees and administrative fee must be paid.
9.5 The Wine Studio acts as an authorised examination centre and is subject to WSET regulations, which prevail in examination matters.

10. Attendance and delivery of sessions

10.1 In-person sessions are an essential part of the programme and require attendance according to the schedule.
10.2 Absences do not entitle the student to make-up sessions or financial compensation.
10.3 In-person sessions will not be recorded.
10.4 Online sessions may be recorded solely as supplementary material.
10.5 Enrolment implies express acceptance of the academic calendar.

11. Confidentiality and intellectual property

11.1 Academic content, materials, and methodologies are the intellectual property of The Wine Studio or its collaborators.
11.2 Reproduction or distribution without express authorisation is prohibited.
11.3 Breach may result in academic measures, including early termination of enrolment.

12. Data protection

Personal data will be processed in accordance with Regulation (EU) 2016/679 and applicable Spanish legislation. Data may be shared exclusively with WSET for academic and certification purposes. Students may exercise their rights with The Wine Studio or the Spanish Data Protection Agency.

13. Conduct, Health and Liability

13.1 Educational purpose and responsible consumption
All tasting activities are conducted strictly for educational and professional purposes. Students are required to maintain appropriate behaviour at all times and to ensure responsible consumption of alcohol.

13.2 Academic and disciplinary measures
The Wine Studio reserves the right to take appropriate academic or disciplinary measures in response to any conduct deemed incompatible with the proper delivery of the programme, including, where necessary, the suspension or termination of enrolment.

13.3 Personal responsibility for conduct and damages
Students shall be solely responsible for any damage caused to themselves, to others, or to property as a result of inappropriate behaviour, misuse of alcoholic products, or improper use of materials or equipment provided during the programme.

13.4 Loss or damage to personal belongings
The Wine Studio shall not be held liable for the loss, theft, or damage of personal belongings brought by students to the training venue or any associated activities.

13.5 Health conditions and medical responsibility
Students are responsible for ensuring that their participation in the programme is compatible with their health condition. This includes, but is not limited to, any medical conditions, allergies, intolerances, or treatments that may be affected by the consumption of alcohol or participation in tasting activities.

13.6 Obligation to disclose relevant conditions
Students must inform The Wine Studio, prior to the start of the programme, of any medical or physical condition that may affect their ability to participate safely in the course.

13.7 Alcohol-related restrictions
Individuals whose medical condition, treatment, or personal circumstances are incompatible with alcohol consumption, as well as persons under the legal drinking age, may not participate in tasting activities.

13.8 Limitation of liability for health-related incidents
The Wine Studio shall not be held responsible for allergic reactions, adverse health effects, or any similar incidents arising during the course, except where required by applicable law.

14. Cancellation or modification by The Wine Studio

The Wine Studio may cancel or postpone the programme if the minimum number of participants is not reached or due to exceptional circumstances, in which case full refunds of amounts paid will be issued.
